Under the direction of the Executive Director, and with guidance from the Association Director of Finance and Association Director of H.R. and Risk Management, the Business Manager is responsible for the proper implementation of business and personnel policies and practices of the family center. He/she acts jointly with the Executive Director in the development, monitoring and controlling of the budget and financial/accounting related functions. This role assist with some H.R. tasks by assisting, counseling, and training family center staff in H.R. functions including the staff selection/hiring process, salary administration, review process, payroll and some aspects of risk management. The successful employee will model the behavioral values established by the Association and will have a passion and enthusiasm for the mission of the Y.

Essential Functions/Responsibilities:

 Oversight of all Business, H.R., and Risk Management practices and communications at the family center level.
 Assist with the budgeting process.
 Perform Manager on Duty responsibilities at the family center as assigned.
 Assist in leadership for special events at the family center as needed.
 Coordinate plan for control of expenses, adhere to plan and alert supervisors of discrepancies.
 Maintain PO register and ensure requests are within budget. Follow up at month end to ensure invoices are submitted in a timely manner or expenses are accrued.
 Prepare daily deposits; deliver to the bank and courier reports to administrative offices.
 Oversight of family center AP/AR including bill coding and payment in a timely manner.
 Assist with member service by being aware of facility needs and taking necessary actions to ensure the family center is safe, clean, and well maintained.
 Maintain volunteer database.
 Work with volunteers and the Annual Support Campaign as assigned by supervisor. Enter Annual Support Campaign pledges and payments in Daxko and run campaign reports.
 Assist Executive Director with Board meetings in organization, recording minutes, and communications regarding Board meetings.
 Obtain bids for products and services as per association guidelines.
 Oversight of office machines including service, contracting and troubleshooting. Maintain office supplies for the family center, ensuring cost effective purchasing and budget constraints.
 Advises and/or participates in the hiring of family center staff.
 Directly or indirectly delivers family center new employee orientation, including accurate completion of new hire paperwork before paperwork is submitted to the Administrative office. Set up new employees and terminate them in Daxko.
 Monitor and control of salary administration including job descriptions, jobs assigned to appropriate salary range, performance review process, and payroll practices.
 Assist in recruitment, screening, and hiring of staff by posting jobs, reviewing applications to ensure they are completed correctly, and ensuring references and criminal background checks have been completed accurately before they are submitted to the administrative offices.
 Manage and assist staff in personnel practices.
 Risk Management liason for the family center- review incident reports for accurate and timely completion before they are submitted to the Administrative office; Manage process for employee injuries, drug screenings, first report of injury; Oversee processes for risk management including monitoring employee certifications.

Preferred Qualifications:

 Must be at least 18 years old and have high school diploma or GED.
 2-3 years of equivalent business experience preferred.
 Have a thorough understanding regarding day-to-day management of YMCA business policies and procedures.
 Be competent in financial management, personnel policies, staff selection and development of business operations.
 Possess skills in managing multiple priorities, organization, attention to detail, communications, customer relations, motivating staff and volunteers.
 Experience in supervision, staff selection, training, and evaluation.
 Ability to work cooperatively in a team environment to achieve results.
 Ability to maintain confidentiality.
 Strong interpersonal and communication skills.
 Ability to analyze and solve problems and demonstrate assertiveness to manage the scope and diversity of the responsibilities.
 Proficiency in Daxko, Microsoft Word, Excel, Outlook and other computer programs necessary to perform the duties of the job.
 Must be able to work effectively with a diversity of people, different backgrounds, abilities, opinions and all ages. Interacts regularly with members, volunteers, staff and other community leaders.
 Must maintain current CPR Pro/AED, First Aid, Oxygen Administration, Child Abuse Prevention, Blood borne Pathogens training, new hire orientation and other trainings required.
